Email Communication Technique


Introduction:
In my report my aims are to make the client's of  'In The Know' learn more about using E-Mail as a communication method so their gain a lot more knowledge, this will make the board of directors a lot happier with they client's knowledge. My objectives are to teach them about: viruses, phishing, Carbon Copy, Blind Carbon Copy, forwarding, replying, spam filter, high-importance, contacts, rules and Rss-feeds.

Main Body:

Virus:

A virus on a computer is a part of a code or a program that is loaded onto a person's computer without their knowledge or by accident my clicking something.




When using E-Mail you need to be careful because opening an E-Mail from an E-Mail address that you don't know because they could have a virus on. Do not click on any links because they could take you to a web page which might be riddled with viruses. To make sure that you don't catch a virus through an E-Mail scan it first so that it will make sure it doesn't have a virus and if it does have a virus do not open it delete it straight away.

Phishing:

The act of sending an E-Mail to a person but pretending to be an legitimate well known work place in an attempt to scam the user into giving them private information that is going to be used as identify theft.

When receiving an E-Mail from what is supposedly well known company read through the E-Mail and look for spelling mistake and the level of English used because a real company would spell all the words correctly and use high levels of English, also you can look at how the E-Mail is set out because if it was the real company it would be set in a very professional style where as the person sending the E-Mail to try and steal you identity will more than likely not set it out very professional.



Carbon Copy:

The abbreviation is CC. This is a copy of an E-Mail message sent to a recipient with the recipient's E-Mail address appearing in the E-Mail.

When using E-mail, if a person has sent an E-Mail to a lot of people the Carbon Copy will show everybody that the sender of the E-Mail has the sent the E-Mail too. But be careful because if somebody is phising and making themselves look like a big company they might forget to use BCC and they can see who the E-Mail has been sent too, but big companies wouldn't use CC because of individuals confidentiality.

Blind Carbon Copy:

The abbreviation is BCC. This is a copy of an E-Mail message sent to a recipient without the recipient's E-Mail address appearing in the E-Mail. 

This is the same as Carbon Copy but instead of the E-Mail recipient seeing who the E-Mail is from they cannot see who else the E-Mail has been sent too, that is why it is called Blind Carbon Copy. If receiving an E-Mail is sent from a big company they will use BCC but if there is an E-Mail from a large company where they aren't using BCC be wary because it might not be who they are appearing to be. Just remember that if a big company sends an E-Mail to you look at the top to see if there is anybody Else's E-Mail (Carbon Copy) because if there is it may not be the company they are claiming to be, so look out for that because a company wouldn't show everyone else's E-Mail address.

Spam Filter:

This is an automated service that will filter spam E-Mails to a junk folder.

This is a very good service on a computer because it sends all the junk mail which you receive into a separate folder, which you don't have to read and you can set it so if you keep getting E-Mails off somebody you didn't know and you didn't want to receive them they could just been sent to the spam inbox.

High-Importance:

This is something that indicates that the E-Mail is important and should be read as soon as possible, this is usually shown as an exclamation mark (!).

This is very important in E-Mails because it shows the importance of certain   E-Mails, if you get en exlamation mark (!) make sure you read it straight away because it is a very important and needs to be read.
